Rental car inspections, without the disputes.

When a car comes back, a scratch with no photo from pickup turns into an argument — and often a deposit refunded grudgingly. Here is the method for an inspection that's quick, complete and hard to contest.

What an inspection has to prove

An inspection isn't there to fill in a box: it's there to prove, later, what state the car was in when the keys changed hands. So it has to answer four questions beyond doubt: what was the bodywork like, what was the interior like, how much mileage and fuel — and the point people forget — did the customer see it and accept it?

Everything else follows. A well-filled sheet with no signature proves little. Photos taken in a hurry, at night, from different angles than at return, can't be compared. The right method is the one that repeats identically at every pickup, whoever the employee.

Before the customer arrives

  • A clean car. Dust and mud hide scratches — and a scratch found after washing, at return, becomes a disagreement.
  • Light. Inspect in daylight or under strong lighting. Night photos under orange light show almost nothing.
  • The car's history. Read the notes from the last return: known damage should be on the sheet before you even start.
  • Your sheet ready: printed, or the app open on the right rental.

Photos: always the same angles

A photo is the strongest proof, as long as you can compare it. So always take the same views, in the same order, at pickup and at return:

  1. 01FrontThe whole front, bumper and windscreen included.
  2. 02RearThe whole rear, plate visible.
  3. 03Driver sideFront to back, wheels included.
  4. 04Passenger sideSame framing as the driver side.
  5. 05InteriorFront and back seats, dashboard.
  6. 06OdometerIgnition on, so the total mileage is readable.
  7. 07Fuel gaugeIn the same photo as the odometer if possible.

Add a close-up of every existing damage, with an object next to it for scale if needed: a key, a card. Wheels and the windscreen deserve their own photo — a windscreen chip is easy to miss in a wide shot.

Mileage and fuel

Write down the total mileage — not the trip meter, which may have been reset — and the fuel level in quarters. A photo of the dashboard with the ignition on settles both at once and leaves no room for copying mistakes. If your rule is “return at the same level”, say so to the customer at that moment, showing them the gauge.

Walk around the car with the customer

This is the step that turns a sheet into proof. Walk around the car with the customer, show them every damage already noted, mark on the diagram anything you find together, then have them sign the sheet. Use the moment to repeat the return time and the fuel rule.

Be precise in your notes. “Small scratch” means nothing at return; “5 cm scratch, rear left door, under the handle” can be checked in ten seconds.

At return: compare, don't start over

At return, repeat exactly the same sequence: same photos, same order, same checklist. Then compare line by line with pickup. That's why a sheet with pickup and return side by side is so handy: the difference jumps out.

  • Tell normal wear (stone chips on the front, dirt) from real damage (a dent, a deep scratch, a crack).
  • Show the customer the pickup photo before talking money: facts first.
  • If you keep part of the deposit, write down the amount and the reason, and give the customer a record of it.

The mistakes that cost the most

  • Skipping photos “because the counter is busy”. Those are exactly the days disputes happen.
  • Inspecting a dirty car, or at dusk.
  • Forgetting the customer's signature.
  • Writing down fuel as “pretty much full”.
  • Letting each employee do it their own way: without a shared method, inspections can't be compared.

Paper or software?

Paper works very well if the method is kept at every pickup: that's what the free sheet above is for. Software mostly adds discipline: it won't let an inspection be completed while a photo is missing, it files photos and readings with the rental, and it compares pickup and return for you.
